The challenge

The client had two unrelated bottlenecks, one in sales and marketing and one in accounts.

  • Sales and marketing: each new project, price change, catalogue or product had no reliable way to reach customers, and WhatsApp filled with order enquiries in the sales season that staff could not answer in time.
  • Accounts: purchase invoices arrived from 10 godowns on separate schedules, and five to 10 office staff copied every field into the CRM and ERP by hand.

What we built

2 connected parts, one system

  1. Part 1

    System 1: Sales and marketing

    • A marketing agent watches for catalogue changes (a new project, price, catalogue or product) and pushes updates to the customer database on WhatsApp, with no manual broadcasts.
    • A separate sales chatbot answers inbound WhatsApp order enquiries instantly at any volume, which matters most in peak season.
  2. Part 2

    System 2: Accounts

    • OCR and an AI model read godown invoices as they arrive and extract every field, replacing manual retyping.
    • A verification step flags extractions the system is not confident about.
    • All other invoices post directly into the CRM and ERP.

Notes

  • This is a cost-saving build, not a revenue build. It did not change what the company sells, only what it costs to handle sales replies and invoice entry.
  • The monthly retainer is well below the cost of the labour it replaced. The saving is the gap between a salary and a subscription.
